Zoom Workplace is one of the most popular meeting platforms because of its constantly growing suite of collaborative in-meeting features. Each of its plans—including the free Basic plan—has an impressive breadth of collaboration tools that will satisfy most teams’ needs.

Plans include typical features like screen sharing and chat, plus advanced features like breakout rooms, virtual backgrounds and dial-in. The whiteboard feature is one of the most feature-rich I tried, with templates and many illustration tools that let your team work together to sketch ideas, brainstorm and draw on images. The Zoom Clips app, included in the dashboard, lets you edit your meeting footage into digestible clips, which are great for marketing or recaps.

Beyond video meetings, Zoom’s app works well for collaboration and document editing. It includes team chat and calendar integrations for easy setup. Any Zoom Workplace plan—free or paid—is a good value for companies prioritizing in-meeting collaboration.

Testing Insights

I had no issues creating, scheduling and inviting people to my Zoom meetings. While some invitees struggled to join my meetings with other platforms, Zoom never had any joining issues. I liked using Zoom’s desktop app because it felt like all the channels—including email and team chat—were well-integrated.

One thing about Zoom that particularly impressed me was its document creation feature. It’s a full built-in co-editing space, like a toned-down version of Google Docs, Microsoft Teams or WordPress.

Microsoft Teams is a video meeting software and complete team communication platform. Low-tier plans include a dashboard with collaborative video meetings, team chat and calendar integrations. These meetings have solid engagement features that rival Zoom’s—live whiteboards, breakout rooms, live captions and AI transcription. While Microsoft lacks Zoom’s polling capabilities and its whiteboards aren’t as feature-rich, Microsoft enables more immersive 3D meetings with “virtual space” technology.

Beyond Meetings, the Teams app offers better collaboration than Zoom. It includes custom business email domains plus web, mobile and desktop-accessible versions of Microsoft 365 apps: Word, Excel, PowerPoint, Clipchamp, etc. These software tools enable live co-editing and are more sophisticated than Zoom Docs and Zoom Clips.

Best of all, Microsoft’s paid plans are cheaper than Zoom’s. If you’re looking for large-capacity video meetings, integration with Outlook and a variety of professional document co-editing tools, Teams is a better choice than Zoom.

Testing Insights

I thought Microsoft Teams video meetings were solid but not as user-friendly or feature-rich as Zoom or Google Meet. The real-time transcripts made a lot of errors, and the whiteboards didn’t have as many drawing tools as Zoom’s. The meeting display also felt more cluttered than Google Meet’s.

However, I preferred the Teams app dashboard over Zoom Workplace. I liked that it integrated smoothly with Outlook, and Microsoft’s team chat had unique features like polls.

Google Meet is a video conferencing platform that’s part of Google Workspace. It integrates smoothly with the rest of Google’s app ecosystem, including Gmail, Drive, Sheets, Calendar, Chat, etc. While Meet isn’t quite as feature-rich as Zoom or Microsoft Teams, it has a solid breadth of collaborative features and an exceptionally user-friendly setup process.

The free plan lets you host one-hour meetings with a large group or uncapped meetings between two people. Higher-tier paid plans add unique features like appointment booking, document e-signatures, custom email domains and collaborative video editing. If your company wants to scale its internal communication and document infrastructure, Workspace’s paid plans are a good choice.

While it lacks Zoom’s collaborative note-taking, whiteboards and waiting rooms, Google has all the features you’ll need for collaboration: polls, breakout rooms and real-time captions that translate into 65 languages. It’s a more cost-effective and user-friendly Zoom alternative, especially for teams integrating Google apps into their daily workflow.

Testing Insights

My favorite parts about Google Meet are its in-meeting interface and setup process. As long as you’re logged in to a Google account, you can start instant Google meetings with one click or generate a reusable link that’s easy to share. You can also schedule a meeting for later, a process that links smoothly with Google Calendar.

The HD video quality in meetings is fantastic and felt even better than Zoom’s. The features are easy to use from the menu at the bottom of the screen. I love how well it integrates with other Google products such as co-editing Google Docs, Slides or Sheets directly within a meeting.

RingCentral Video is an AI-focused conferencing platform with good video quality and solid collaboration features. The Video Pro plan is one of the best free options available. While most competing free plans omit AI, RingCentral Video Pro has intelligent and unique AI features that go beyond transcription and summaries to add keyword detection, highlight reels and context for actions taken.

Further, while many alternative free plans make connecting teams under one account difficult, RingCentral’s free plan lets you easily share video recordings, highlights, notes and whiteboards in chat. It also includes dial-in and dial-out features, which many other free plans lack.

Starting at $10, RingCentral’s paid Video Pro+ plan is costlier and lacks features that Zoom and Google Workspace offer such as polls, email domains and video clip editing. As long as you don’t mind the 50-minute time limit, RingCentral’s free plan is a better value for teams seeking AI insights, collaboration and note-taking.

Testing Insights

I found RingCentral’s in-meeting features among the easiest to use. While using some alternatives, I felt features could get buried, causing stress during a meeting. However, with RingCentral, the “more” tab presented a straightforward menu of all the features I’d need: notes, AI, breakout rooms and whiteboards.

One downside I noticed when using RingCentral was that its video quality seemed noticeably blurrier and more pixelated than alternatives like Dialpad and Google Meet.

Webex is a video conferencing and team collaboration platform with unique features for audience engagement. On all plans—including the free one—you can screen share with the option to annotate directly on the shared screen. This allows you to “mark up” websites, underline and circle things and make presentation slides more interactive. The free plan also includes unlimited whiteboards, outperforming Zoom, which limits your whiteboard usage on all but the highest-tier plan. Webex also includes clip editing on all plans, a feature that no alternative offers for free.

Webex’s paid plans add the Slido integration, which enables you to gather real-time audience feedback in dynamic ways. You can create polls in various styles, including open-text responses, multiple choice, word clouds, quizzes and surveys. This feature would work well for gauging audience opinion, testing and eliciting feedback.

If gathering audience data in real time is your priority, Webex’s paid plan may be worth the $14.50 per month. However, even Webex’s free plan has good collaboration features.

I thought Webex’s app dashboard was user-friendly, but it felt slightly plain compared to Zoom’s and Microsoft Teams’. Webex lacks many “extras” that make alternatives stand out, including project management features, email domains and text formatting within team chat.

However, Webex’s in-meeting engagement features are among the best. I was surprised at how many ways I could poll and survey my audience. Creating these polls was easy; I could do it on the fly during the meeting.

Dialpad Meetings has strong AI features and clear HD video quality, but the software is lackluster in virtually every other regard. Dialpad is known for its intelligent AI features, and the meetings are no different. You can use AI for live transcription, post-meeting summaries and action items, which most providers don’t have.

However, these AI features are only included in the paid Business plan, one of the costlier options at $20 monthly per user. Further, beyond the AI features, Dialpad doesn’t offer much beyond screen sharing, chat, countdown timers and integration allowing whiteboards. The app doesn’t include a team chat dashboard like most alternatives. I’d recommend Dialpad Meetings if you prioritize stellar HD video quality and AI tools but don’t need many team collaboration or engagement features.

Starting Dialpad meetings from the web dashboard is pretty easy, with quick scheduling and a one-click button to “Meet Now.” When I first joined a Dialpad meeting, I was immediately impressed by the clear HD video and the fact that the system played hold music. However, I quickly began feeling limited regarding my in-meeting capabilities. I missed features like polls, annotations and breakout rooms.

I also felt that Dialpad is limited because it doesn’t offer a desktop app central hub, with features like team chat. Although this is extra and unnecessary for many users, I consider it a “nice to have” that many alternatives offer.

Zoho’s app is straightforward to use. The web component lets you start instant meetings or schedule them for later and provides a personal meeting room link that’s easy to share and email with invitees. In live meetings, the control panel and overall display felt a bit outdated, but the host controls were intuitive. ClickMeeting is a video conferencing and webinar platform with some one-of-a-kind features. You can send automated and custom invite emails and follow-ups and provide attendees with certificates of attendance for a more formal quality to your meetings. The app includes registration and promotion features like tickets, promo codes, customer registration pages and landing pages for your event. You can also collect payment from attendees and livestream your event to Facebook, YouTube or LinkedIn.

In addition to these webinar features, ClickMeeting enables video conferences with many of the same collaboration features as the other providers on my list. The main downside is that ClickMeeting is significantly more expensive than other platforms. However, if you want video conferences and webinars, or if you want to host workshops and demonstrations for marketing purposes, these features could be worth the extra cost.

While using ClickMeeting, I felt like the platform was designed for webinars rather than casual or impromptu video conferences. It’s easy to set up and host meetings, but the setup process involves more boxes and steps than it does with other platforms. In-meeting, the chat setup made me, as the host, feel detached from the audience.

While this more intricate setup process and meeting display style works well for webinars, it feels too complex and sophisticated for companies primarily seeking meetings for team collaboration.

GoTo’s dashboard is pretty simple, with one-click buttons to share your personal meeting room and hop in. Its easy-start capabilities would be helpful for users who frequently host impromptu meetings.

Within a meeting, I found GoTo’s video display to be disappointingly blurry—not quite as sharp as Google Meet, Zoom or Dialpad. The control buttons also felt too big and intimidating, making the meeting display feel cluttered and less user-friendly than some alternatives.
